By using our services or purchasing products through our website, you agree to these Terms and Conditions.
Please read them carefully before placing an order, making a payment, or engaging HelloHost for services.
1. General
- HelloHost is a registered business providing web design, graphic design, hosting, digital marketing, website maintenance, email hosting, and related digital services.
- By purchasing services or digital products from HelloHost, the client acknowledges and agrees to these Terms and Conditions.
- HelloHost reserves the right to update or amend these Terms and Conditions at any time. Updated terms shall apply to all new and ongoing projects and services.
- All communication, approvals, and project instructions provided by the client through email, WhatsApp, support tickets, or any official communication platform shall be considered valid and binding.
2. Services and Deliverables
- Services include, but are not limited to:
• Website Design
• Graphic Design
• Website Maintenance
• Web Hosting
• Email Hosting
• Digital Marketing
• VoIP Services
• Related digital and business services - Estimated delivery timeframes:
• Graphic Design: 2 to 3 working days depending on project complexity and client responsiveness
• Website Design: 5 to 10 working days depending on project complexity and client responsiveness - Delivery timelines may vary depending on project requirements, revisions, third party delays, and client communication.
- Final ownership and usage rights transfer to the client only once full payment has been received.
- HelloHost reserves the right to showcase completed work in its portfolio, social media platforms, advertisements, and marketing material unless otherwise agreed in writing.
3. Revisions
- Graphic Design projects include up to two rounds of revisions. Additional revisions will be billed at R300 per revision.
- Website projects include one round of revisions. Additional revisions will be charged as follows:
• Standard Websites: R500 per revision
• Online Stores: R750 per revision - Revision requests must be submitted within seven business days of project delivery. Requests received thereafter may be billed separately.
4. Digital Products
- Digital products are delivered electronically upon successful payment.
- All digital product purchases are final and non refundable.
- Digital products may not be resold, redistributed, shared, sublicensed, or claimed as original work by the client unless explicitly permitted in writing by HelloHost.
5. Payment Terms
- Recurring services are billed on a prorata basis upon signup and thereafter billed in full on the 1st day of each month.
- Clients are required to make payment immediately upon signup or invoice generation.
- For projects valued below R20 000, full payment is required before work commences.
- For projects valued above R20 000, a minimum deposit of 60% may be accepted at HelloHost’s discretion. The remaining balance becomes payable once the project is completed and ready for client review.
- Clients shall have a maximum of two business days to settle any outstanding balance after receiving notification that the project is complete and ready for viewing.
- Failure to settle outstanding balances within the required period may result in:
• Delayed project delivery
• Suspension of services
• Additional late payment fees of 10% of the outstanding balance every seven days until payment is received - No final files, websites, login credentials, or deliverables will be released until full payment has been received and cleared.
- HelloHost reserves the right to suspend or terminate services due to overdue accounts or failed payments.
6. Project Requirements
- Clients are responsible for supplying all required content, images, branding material, and information required for project completion.
- Delays caused by missing information, delayed approvals, or lack of communication from the client may affect project timelines.
- Any additional work or requests outside the agreed project scope may be quoted and billed separately.
7. Design Credit
- Website projects may include a footer credit stating:
“Designed & Hosted by HelloHost” - This credit forms part of the project agreement unless otherwise agreed in writing.
- Clients requesting removal of the design credit may be charged a once off fee of R1 500.
- Unauthorized removal or modification of the design credit without written consent may constitute a breach of these Terms and Conditions.
8. Hosting and Maintenance Services
- Hosting, maintenance, and recurring digital services are billed monthly unless otherwise agreed.
- Recurring invoices are due on the 1st day of each month.
- Failed, reversed, or declined payments may incur an administration fee of R100.
- Continued non payment may result in suspension, restriction, or permanent termination of services.
- HelloHost shall not be held responsible for downtime or interruptions caused by third party providers, datacenters, registrars, or external infrastructure.
9. File Storage and Resending
- Clients are responsible for downloading, backing up, and storing all final deliverables and files.
- Requests to resend files may incur the following fees:
• R150 per file
• Maximum of R450 per project resend - Resending of files will only take place once payment has been received.
10. Limitation of Liability
- HelloHost shall not be held liable for any direct, indirect, incidental, or consequential damages arising from the use of delivered services, hosting, websites, designs, or digital products.
- HelloHost is not responsible for losses caused by:
• Third party service failures
• Hosting outages
• Domain issues
• Cyber attacks
• Plugin or software conflicts
• Client misuse or negligence - Clients are solely responsible for ensuring legal compliance of all content, marketing material, and activities conducted using HelloHost services.
11. Termination
- HelloHost reserves the right to terminate projects or services where:
• Clients behave abusively or unreasonably
• Payments remain outstanding
• Clients fail to cooperate or communicate effectively - Termination does not exempt the client from payment obligations for work already completed or services already rendered.
12. Acceptance of Terms
- By accessing the HelloHost website, placing an order, making payment, or using any HelloHost services, the client acknowledges that they have read, understood, and agreed to these Terms and Conditions.
- Acceptance of these Terms and Conditions is deemed effective upon use of the website, submission of an order, payment of an invoice, or continued use of HelloHost services.
